Processing of personal data
Göteborgskalaset processes personal data for several different purposes, which you can read more about below:

1. Photography during Göteborgskalaset
During Göteborgskalaset, photographers capture photos and videos across the festival areas. This material is used to:
- showcase and communicate about Göteborgskalaset on social media, including Instagram, TikTok and Facebook
- promote and provide information about Göteborgskalaset on the website
- document the event for future planning, for example photographing stage setups to review placements
Photography of Visitors

In these cases, the legal basis for processing your personal data is consent (Article 6.1(a) GDPR).
- If you provide verbal consent, photos and videos may be used in social media content during the festival. After the event, we do not create new content from this material, but content already published may remain unless you request its removal.
- If you provide written consent, you will have received information at the time of consent about how your personal data will be processed.
In some situations, it is not possible for us to obtain consent, for example when photographing large crowds or audience scenes. In these cases, the legal basis for processing is public interest (Article 6.1(e) GDPR). This public interest derives from our assignment from the City Council to run Göteborgskalaset and promote both the event and Gothenburg as a destination.
If You Do Not Want to Appear in Photos
If you have provided consent, you may withdraw it at any time. If you have not provided consent, you may object to the processing and request that photos or videos in which you appear be removed.

Photography of Contracted Models
We also work with models during Göteborgskalaset. If you participate as a model, you will have signed a model agreement at the time of the photoshoot. This agreement explains how your personal data will be used. The legal basis for processing is contract (Article 6.1(b) GDPR).
How Your Data Is Managed
We use photos and videos on our social media channels and website. Images, videos, consents and model agreements are managed in our media bank, provided by the Swedish company Mediaflow Europe AB, which acts as our data processor.
2. CCTV Surveillance
For safety reasons, surveillance cameras are placed in the festival’s main areas during Göteborgskalaset. This allows us to maintain an overview, manage crowd flows efficiently and identify risks in real time.
- Cameras record images only, not sound.
- Signs clearly indicate monitored areas.
- Recordings are stored for 15 days and then automatically deleted. In some cases, parts of the material may be stored longer to be shared with the police during criminal investigations or used for lessons learned for future events.
- Only security managers and designated key personnel have access to the material. In the event of criminal activity, the police or other authorities may be granted temporary access.
The legal basis for surveillance is legitimate interests (Article 6.1(f) GDPR). The need for safety outweighs the privacy impact of the monitoring.
Your Rights
You can read more about your rights below. Some GDPR rights are limited in relation to CCTV surveillance.
To enable us to process a request to exercise your rights of access, rectification, erasure or restriction regarding surveillance footage, you need to:
- specify the date, time and location where you were present, and
- identify yourself in a way that makes it possible for us to locate you in the footage.
You are not entitled to access images of other individuals appearing in the material. Nor do you have the right to access material covered by confidentiality under Swedish public access and secrecy legislation, even if you appear in the footage.
3. Administration of Programme Events during Göteborgskalaset
To manage, coordinate and follow up Göteborgskalaset, we need to process personal data relating to those who apply to participate as programme events and those who take part.
Open Call Applications
We use your personal data to receive, review and evaluate applications to participate as a programme event.
Applications are used for as long as necessary to plan programme content for Göteborgskalaset and are then archived in accordance with Swedish archive legislation.
The legal basis for processing is public interest (Article 6.1(e) GDPR). You have the right to object to the processing.
The application form is created using Forms, a system provided through Intraservice in the City of Gothenburg and Microsoft Ireland Operations Limited.
Artists and Participants
We use your personal data to:
- plan, organise and programme festival events
- send information and invitations to meetings and gatherings
- inform the public about the programme and participating artists/performers
Data We Process
We register names and email addresses for everyone involved in the work related to Göteborgskalaset.
The legal basis for processing is public interest (Article 6.1(e) GDPR). This task in the public interest stems from the City Council’s assignment for us to run, lead, coordinate and follow up Göteborgskalaset.
You have the right to object to the processing for reasons related to your particular situation.
Bilder
For artists and performers participating in programme events, we also use images provided by you. We may also photograph artists and performers during their appearances.
How these images may be used is regulated in the artist agreement entered into with you. The legal basis for processing is contract (Article 6.1(b) GDPR).
Who Your Data Is Shared With
Your personal data is shared with those involved in planning and organising Göteborgskalaset. Images and names may also be shared externally with the public when communicating about the programme.
How Your Data Is Managed
We use an event planning system called Jetty, provided by the Swedish company Jetty AB, which acts as our data processor.
How Long Your Data Is Stored
We process your personal data for as long as necessary to plan and organise Göteborgskalaset and then archive it in accordance with Swedish archive legislation.
4. Contact via Email
We process personal data in order to respond to questions about Göteborgskalaset received through the festival’s shared email address or our personal email addresses.
The personal data processed for responding to emails includes email addresses and any personal data you provide in your message.
The legal basis for processing is public interest (Article 6.1(e) GDPR).
We use the email tool Outlook, provided through Intraservice in the City of Gothenburg and Microsoft Ireland Operations Limited.
5. General Information

The right to request erasure may be limited by our obligation to preserve personal data contained in public records under Swedish archive legislation.

You may lodge a complaint about our processing of personal data with the Swedish Authority for Privacy Protection (IMY).
